We are not a college/university, but an nonprofit property/casualty
insurance education organization. Here's our system:
- We keep hard copies of permissions with copies of the specific
copyright-ed material attached, in paper files by publication (we publish
many textbooks, course guides, and other materials and have all filed by
publication).
- When we upgraded our computer systems a few years ago, we also
started keeping electronic files of all our letters - of course, they do not
contain the copyright-ed material (scanning would be burdensome, though some
day that might be feasible). I would not rely totally on electronic files,
however, even with faster/easier scanning of materials because of the
possibility of losing everything!
- Finally, we also maintain an electronic summary file (going back
about 10 years), again arranged by publication, in which we summarize the
source, brief description of material, disposition (as, fee - if any; other
conditions). This way, I can quickly check on things - as, if someone asks
me "Does Business Week usually charge - if so, how much?" I can quickly
search out our Business Week history and give the editor a quick response.
We did this when such questions were answerable only by poring through
voluminous files! (We find this file hard to keep up-to-date, however,
because it's always last on the priority list of daily work!)
