videotaping of commencement exercises

Hi, everyone!

My administration has given me permission to hire a professional videographer to videotape our commencement exercises (and allow the graduates to order copies).

I have a couple of questions.....

  1. It is my practice to prepare release forms for anything that is taped live on campus. Who should sign release forms for commencement.... just the guest speaker, or anyone and everyone who speaks? What about the graduates, who receive their diplomas on stage individually as their names are announced? (I do prepare multiple copies of these forms, and the person signs each forms separately; the person is then given a copy of the form for their files and I keep a copy in my files.)
  2. Is it necessary to put some kind of announcement in the commencement program that the ceremony is being videotaped? Is it wise to do so - even if it's not necessary?
  3. If it is necessary to put an announcement in the program, how should it be worded?
  4. What is the proper recourse if someone (a graduate or family member/guest) objects to being videotaped? (I can't imagine it happening, but I try to prepare for anything!)
